Sometimes you don’t need to refund an entire order. Now Booostr Store Manager gives you a simple way to refund exactly the amount you need.
We’re excited to add partial dollar amount refunds to Booostr Store Manager, giving your team more control when handling returns, adjustments and other situations where a full refund doesn’t make sense. Maybe a supporter purchased several items but only needs an adjustment on one of them, or perhaps an item was damaged and you want to refund part of its purchase price. Whatever the situation, you can now enter the specific refund amount you want to apply at the product level instead of having to treat the entire order as all-or-nothing. And just like everything else we build into Booostr, we wanted the process to be straightforward.
With the new functionality, your team can apply a specific dollar amount refund to an individual product within an order. The important part is that the refund is handled at the product level. You’re not simply entering an amount against the entire order and hoping the numbers work out. You select the product that needs the adjustment and enter the dollar amount you want to refund for that product.
The refund amount cannot exceed the amount that remains refundable for that product. In other words, you can’t accidentally refund more than the customer actually paid for that item. If a partial refund has already been made against a product, any additional refund can only use the remaining refundable amount. This gives your team flexibility while keeping the refund tied to the original purchase.
The process is only three steps:
Once submitted, the refund is automatically applied and processed through the organization’s connected Stripe account. Your team doesn’t have to manually calculate what needs to be returned, process the payment separately or go back and update the transaction afterward.
This update is particularly useful because real-world refunds aren’t always simple. A customer might return one item from a larger order, an organization might decide to refund part of an item’s purchase price rather than the full amount, or your team may need to make an adjustment without changing the rest of the order. Store Manager lets you handle those situations at the product level, so you can refund an amount that is less than the amount paid for the product while the rest of the purchase remains intact.
And because the system keeps track of what has already been refunded, the total refunds against that product cannot exceed the amount originally paid. That gives your volunteers more control without giving them an opportunity to accidentally refund too much.
A refund doesn’t just affect the payment. It also needs to be reflected in your records, and that’s where having Store Manager connected to the rest of Booostr becomes especially useful. Once the refund is processed, the purchase receipt and order history in Store Manager are updated automatically. The customer also receives a notification and updated receipt, so everyone has a clear record of what happened.
At the same time, the corresponding transaction is automatically updated in Booostr Financial Manager. That may not sound particularly exciting, but anyone who’s ever had to reconcile sales manually knows exactly why it matters. The fewer places your volunteers have to update the same information, the less opportunity there is for something to get missed.
This is one of the advantages of having your organization’s sales and financial tools connected rather than relying on separate systems. Once the refund has been submitted and processed through Stripe, the money is returned to the bank account or card used for the original purchase. Supporters should generally expect the refunded amount to arrive within 7–10 days, depending on their financial institution. They also receive a notification and updated receipt, giving them confirmation that the refund has been processed and showing the updated purchase information.
For your volunteers, that means the refund process doesn’t end with clicking a button. The important customer and financial records are updated along with it, while the supporter gets the information they need without your team having to manually send another message or create another receipt.
